Digital Operations Specialist

The role, in plain terms

Our client is an executive AI education arm that runs leadership programs, professional training, and self-paced AI literacy courses for government and private-sector clients across the region. The systems behind all of that: the learning platform, the automations, the data, are growing faster than the current team can keep up with.

This role is the person who keeps that engine running day to day and also helps build the next version of it. Some mornings you’re in the support queue sorting out a learner’s login issue. Some afternoons you’re building an automation in n8n that means nobody has to do that manually again. It’s genuinely half operations, half builder, not a technical role wearing an admin hat, and not the other way round.

What you’d actually be doing

Running the learning platform

  • Being the first point of contact for learners, cohort participants, and client organisations when something on the platform breaks or doesn’t make sense: access issues, enrolment problems, missing content
  • Setting up and administering user accounts, cohorts, permissions, and course assignments
  • Loading and quality-checking course content before each cohort goes live
  • Keeping requests moving within agreed timeframes, and pushing anything platform-side to the vendor when it’s beyond what you can fix
  • Writing down how recurring issues get solved, so the fix doesn’t live only in your head
  • Keeping numbers accurate: this role gets checked on that

Being the connective tissue across teams

  • Acting as the go-between for the client’s Academy function and IT, Marketing, Finance, and the program teams
  • Being the extra pair of hands program teams lean on during cohort launches and onboarding pushes

Building the automation layer

  • Building and maintaining workflow automations in n8n (or similar tools)
  • Helping stand up internal AI agents and automated workflows that take repetitive work off the team’s plate
  • Connecting systems together where it makes sense: the LXP, Salesforce, Microsoft 365, website forms, reporting tools
  • Watching automations once they’re live, and fixing them when they break
  • Documenting every workflow well enough that someone other than you could pick it up

Getting the data in order

  • Cleaning up and standardising program, participant, and alumni data
  • Sticking to the agreed file-naming and data-structure rules across client systems
  • Migrating content and records into the single source of truth everyone’s meant to be working from
  • Helping build out the client’s data and reporting setup, following the existing blueprint
  • Getting data dashboard- and leadership-report-ready

What you’ll need to bring

  • 3+ years in technical operations, systems administration, or digital learning operations
  • Hands-on experience with a workflow automation tool: n8n, Make, Zapier, or Power Automate
  • Comfortable with spreadsheets and messy data: cleaning it, restructuring it, making sense of it
  • Enough Python or JavaScript to handle data processing and integration work
  • Have administered an LMS or LXP platform before, not just used one
  • Run a support queue or ticketing process with real response-time expectations
  • Comfortable coordinating across several stakeholders at once
  • Self-directed enough to own a workstream without needing it handed to you step by step

Nice to have

  • Time on a modern LXP: Sana, Docebo, 360Learning, or LearnUpon
  • Some Salesforce administration experience
  • Working Arabic: useful for bilingual content and talking to regional stakeholders
  • Exposure to AI/LLM tooling: prompt design, API integrations, agent frameworks
  • Background in higher education, executive education, or corporate learning
  • Power BI or a similar reporting tool

Worth knowing before you apply

This role comes with administrative access to the client’s learning platform and to participant data. Whoever takes it will need to go through whatever security clearance, NDA, or data-handling agreement the engagement requires. Stellar will walk you through that as part of the process.
